We encourage you to read all of our company’s terms and conditions. After reading our terms and conditions, be sure to follow our rules and regulations.

Please read our terms and conditions carefully before booking your trip with us.

For the Trip Booking conditions:

Please provide us with a photocopy of your passport and a 10% of TRIP COST as deposit when booking your trip with us. The deposit amount is negotiable. The remaining balance can be paid upon your arrival in Kathmandu before you set out for your trek or tour.


Note: For credit card payment, a 3.75% processing fee will be charged by Himalayan Bank Nepal , our payment partner. This is not a service charge from Base Camp Hike.

In the case of postponing the trip

If you need to postpone your trip due to your own problems, you must send us a written notice 20 days before the exact departure date.

If you postpone your trip to Nepal, a minimum of USD 150 will be charged as a future price increase amount, and the remaining amount will be transferred to the postponed trip.

Trip Cancellation

To cancel your trip, you need to send us a valid written notice via email to be effective. We can only process cancellations with proper notice. The cancellation fee will be based on the date the company receives the request of cancellation from clients. The company reserves the right to impose applicable charges ( based on how far in advance you notify us ) on your trip cancellation.

Full Refund:- If the cancellation request is made 31 days or more before the trip departure date, you will be eligible for a full refund, including the deposit.

Partial Refund:- If the cancellation request is made between 8 and 30 days before the trip departure date, you will not be eligible for a refund of the deposit, but you will receive a 100% refund of the remaining amount if it has already been paid.

No Refund:- If the cancellation request is made 7 days or less before the trip departure date, it will be considered a “NO SHOW” and you will not be eligible for any refund, including the deposit.

Cancellation after the departure:- If you voluntarily leave the trip after it has begun, you will not receive any refunds for unused services, including accommodation, transportation, sightseeing, meals, or other included services.


Base Camp Hike is very flexible with booking options in terms of Covid-19. We don’t take any portion of your deposit money if you need to postpone your trip before 10 days to the trip start.

But if you want to cancel or postpone the trip within 10 days of departure, your trip deposit will not be refundable. Because we will have already arranged everything for your trip during that period using your advance deposit. For example, once we have arranged your trekking permit, we cannot get a refund from our government. Therefore, we cannot refund your deposit in that situation.

Unforeseen Circumstances

If your trek/tour gets canceled due to any unforeseen circumstances like natural disasters, war, or unfavorable weather conditions, Base Camp Hike Pvt Ltd will arrange another trip for you.

Price Changing conditions

Base Camp Hike Pvt Ltd reserves the right to change the price under some circumstances. But our actions will apply in reasonable cases, such as in the case of a drastic change in the exchange rate, inflation, government actions, etc. We are not liable to answer to anyone for our actions in that case. Customers are not allowed to bargain on the trip price after booking and agreeing to the package.

Travel Insurance

We highly recommend a comprehensive travel insurance package to all our clients. The insurance must cover all the medical expense, personal accident, emergency evacuation, trip cancellation, loss of gears and natural calamity, theft of or damage to baggage and personal effects as well.

We have insured our Nepali staff, such as guides and porters, well, so you don’t need to worry.

Flight Delay and Cancellation

In Nepal, flight delays and cancellations are quite common during bad weather conditions in remote areas, particularly in the Everest region, Annapurna region, Dolpo, Simikot, and Jumla region. Therefore, it is advisable to carry some extra money to buy food and accommodations in case of delays. Base Camp Hike will not be responsible for any additional expenses that occur due to flight delays and cancellations. Please plan accordingly.

Your personal belongings/luggage

We are not liable for any damage to or loss of your luggage or property. They are at your own risk. So please carry your sensitive belongings with you.

Trip cancellation by Base Camp Hike

If Base Camp Hike cancels your trip, your deposit and all payments will be refunded. However, if our cancellation is due to civil war or any other unpredictable circumstances beyond our control, the reasonable expenses that we have already paid for the process of the trip will be deducted from your deposited money.

Incomplete Trek, Tour, and Expedition

We are not liable for any refunds in case of incomplete trek, tour, or expedition. This is because the company has to pay a guide and porter as well as government tax from your booking days revenue.

If you complete your trek/tour/peak climbing earlier than the itinerary, you will not be able to receive a refund.

During the tour

If you commit any unlawful act during your tour and are compelled to leave Nepal, Base Camp Hike Pvt Ltd is not liable for any refunds.

Last-minute trip booking

We also accept last-minute bookings. You can book a trip to Nepal two days before the departure date.


Base Camp Hike P.Ltd.’s terms and conditions apply only to bookings made directly with us. If you book your trip through an agent or third party, you will be bound by their terms and conditions.
