A step-by-step walkthrough to booking your trek in Nepal with BASE CAMP HIKE Pvt. Ltd. from start to finish.
Find Your Trek
- Go to www.basecamphike.com
- Click Trekking in Nepal from the top menu
- Browse the available treks (Everest Base Camp, Annapurna Base Camp, Langtang Trek, Mardi Himal, etc.)
- Click on the trek you want to book
- Read the full trek description, itinerary, inclusions, and pricing
- Scroll down to the Booking section on the trek page
Select Departure & Group Size
On the booking form, specify your primary trek parameters:
- Departure Date — Select your preferred departure from the available dates shown. Each date shows seats remaining and price.
- Group Size — Enter how many people are trekking (including yourself).
- Payment Type — Choose Deposit (partial payment to secure your spot) or Full Payment.
Fill In Your Details (Lead Booker)
Enter your personal contact information as the main account holder:

Travel Documents
- Passport Copy: Upload a scan or photo of your passport (JPG, PNG, PDF, HEIC, DOCX accepted).
- Headshot / Passport Photo: Upload a recent photo of yourself (JPG, PNG).
💡 Tip: Take a clear photo of your passport using your phone camera. Make sure all text is readable.
Additional Travellers
If you are booking for more than 1 person:
- Each additional traveller has their own designated section.
- Fill in the same details (name, passport, photo) for each person.
- You can add up to the group size you selected in Step 1.

Customize your trek with optional extras:
Prices are shown per person. Tick the ones you want and fill in any required details.
Review & Sign
- Review your booking summary: Check all details, dates, prices, and add-ons are correct.
- Read the Terms & Conditions: Review our full policy at basecamphike.com/terms-and-conditions.
- Draw your digital signature: Use your mouse or finger (on touchscreen) inside the signature box.
- Tick the agreement checkbox: “I have read and agree to the Terms and Conditions”
- Click Confirm Booking.
Choose Your Payment Method
After submitting your booking, you will be taken to My Bookings where you can choose how to pay:
Option 1: 💳 Pay Online via Himalayan Bank
- Instant payment by credit or debit card
- Secure 2C2P gateway
- 3.75% card processing fee applies
Click Pay Online Now and follow the bank’s instructions.
Option 2: 🏦 Bank Transfer / SWIFT / WISE

- Verification: Our operations team reviews your payment within 24 hours.
- Invoice Email: You will receive a confirmation email with your attached tax invoice.

- Go to My Dashboard ( My Bookings ) in the top menu).
- Log in with your email and account password.

- Booking status (Pending / Confirmed)
- Download Invoice button
- Pay Balance button (if deposit was paid)
❓ Frequently Asked Questions
Do I need to create an account to book?
No. You can book as a guest. However, creating an account lets you log in and check your booking status anytime.
Can I change my departure date after booking?
Yes, contact us at info@basecamphike.com or WhatsApp +977 984 971 7725 and we will help you reschedule subject to availability.
How much deposit is required?
Typically 10% of the total trek cost. The exact amount is shown on the payment page.
When do I need to pay the full balance?
For the remaining balance, we preferred Cash payment ( either USD or AUD or Euro or GBP or any currency that works in Nepal ). However, if cash payment is not suitable for the remaining balance settlement, you can pay via online using your card. You can make the deposit using one of the payment methods listed on our website at the following link: how to make a deposit/payment . Please visit the link and choose the most convenient payment method for you.You will see the balance due in your My Bookings dashboard.
What documents do I need to upload?
You need a passport copy (scan of your passport photo page) and a headshot photo of yourself. These are required for permit processing.
Is my payment secure?
Yes. Online payments go through Himalayan Bank’s 2C2P secure gateway. Bank transfers go directly to our company account.
